A request for a basic criminal record search may fit either the police route or the national online route. A request that specifically names Hamilton Police Service needs the HPS document. Confirm the exact check name before paying because the levels disclose different information and HPS fees are non-refundable.

The HPS Criminal Record Check is intended for volunteers or any basic request. It is not the correct level for someone applying to work or volunteer with vulnerable persons. Per HPS, the search includes criminal convictions, both summary and indictable, from CPIC and/or local databases. It can include identified summary convictions for five years and Youth Criminal Justice Act findings within the disclosure period for government-agency applicants.
A request for a criminal record check that a Hamilton, Ontario organization will accept may also fit Instant Record Check when the recipient accepts a national name-based result. Its CRC searches RCMP and CPIC sources and costs $59.97. The Enhanced option is a CRJMC and costs $66.97. It is limited to specific roles identified under the Child, Youth and Family Services Act. It is not a general upgrade from a CRC, CRJMC or VSC, so the requesting organization should name the BRC when the role falls under those guidelines.

Instant Record Check cannot issue a BRC. It also cannot issue the separate HPS CLRA police records check used for non-parent decision-making-responsibility applicants. These requests need the Hamilton Police Service process even when an online name-based CRC is available.
Hamilton Police Service
Use the check type specified by the requesting organization. HPS does not accept third-party requests, so the applicant must submit the application. An online application requires two pieces of unexpired government-issued identification, including one with a photo. Health cards and SIN cards are not accepted.
A VSC or CRJMC application needs proof of residence in the City of Hamilton. The HPS online route accepts Visa or Mastercard. At HPS, payment can be made by cash, debit or credit, but personal cheques are not accepted. Fees are non-refundable.
If fingerprints become necessary during an online application, the online process stops. HPS asks the applicant to attend the Records Business Centre at Central Station, 155 King William Street, to complete the application. Instant Record Check cannot complete this fingerprint step.
The Records Business Centre is open Monday to Friday from 8:30 a.m. to 4:30 p.m. and is closed on statutory holidays. Applicants can use the in-person route during those hours. HPS results may be mailed or picked up. A security seal certifies the document as an original and states its page count. Results left uncollected for 90 days are purged.
The online form is still an application to Hamilton Police Service. It is the correct online destination for someone whose instructions name HPS or require a VSC, BRC or CLRA check. The applicant supplies the identification and payment directly. An employer, family member or screening company cannot submit the HPS request on the applicant's behalf because third-party requests are not accepted.
Identification requirements should be checked before starting. Both pieces must be current government-issued ID and one must show a photo. A health card cannot fill either position, and neither can a SIN card. A person applying for a CRJMC or VSC also needs evidence that the person resides in Hamilton.
