Background Checks for Transportation and Logistics Employers

Instant Record Check (IRC) delivers CPIC-sourced criminal record checks for carriers, courier and last-mile operators, warehousing and third-party logistics businesses. Canadian-owned, BBB accredited, no contracts. Transportation carries several screening requirements that are not criminal record checks, so this page marks the boundary clearly.

What Is Transportation Background Screening in Canada?

Driver onboarding is a race. Qualified drivers hold multiple offers, and a carrier that takes two weeks to clear a candidate loses them to one that takes two days. The same pressure applies to warehouse hiring during peak, where an operation may need a hundred people for eight weeks.

What a criminal record check contributes here is specific: it covers criminal history. It says nothing about driving history, hours-of-service record or medical fitness, which are governed by separate provincial and federal requirements. Carriers that treat the criminal check as the whole of driver vetting are missing most of it.

What the Check Includes

IRC provides the name-based Criminal Record Check and the Enhanced Criminal Record Check. The Enhanced check adds pending charges, peace bonds, probation and judicial orders.

Operators generally use the Enhanced check for drivers carrying high-value freight, couriers entering residential and commercial premises, and anyone with warehouse key access, on the reasoning that a pending matter is relevant before it resolves.

Candidates verify identity with government-issued ID before the search runs, and most reports return within minutes. Owner-operators and subcontracted drivers can be invited the same way as employees.

What IRC Does Not Cover

IRC does not provide driver abstracts. A driving record comes from the provincial licensing authority, and it is a separate document from a criminal record check; our driver's abstract guide covers how to get one in each province. Anyone telling you a criminal record check shows driving history is wrong: most driving offences are provincial and never appear on a CPIC criminal record.

IRC does not issue Transportation Security Clearance for restricted areas at airports and marine facilities, which is administered by Transport Canada, and it does not handle FAST or other cross-border trusted trader programmes.

IRC does not provide Vulnerable Sector Checks, which apply to the minority of transportation roles involving passengers who are children, elderly or living with disabilities, such as school transport and some patient transfer work. Those go through a police service.

Who Uses IRC in Transportation And Logistics

Canadian carriers, couriers, warehousing and logistics operators. Typical cases:

  • Long-haul and regional trucking carriers onboarding company drivers and owner-operators.
  • Courier and last-mile delivery operators screening couriers who enter homes and businesses.
  • Warehousing and third-party logistics providers hiring pickers, packers, forklift operators and shift supervisors during peak.
  • Dispatch, yard and terminal staff with facility access and freight visibility.
  • Freight brokers and logistics agencies screening staff who handle customer accounts and payments.

Why Canadian-Owned and Operated Matters

Carriers operating across provinces deal with several privacy regimes at once, and customers running supply chain audits ask where personnel data sits. IRC is Canadian-owned and operated, and screening data stays in Canada.

No contract and no minimum volume suits an industry whose headcount moves with freight demand, and whose peak hiring is concentrated into a few weeks.

How IRC Works for Transportation Employers

Open a business account and invite drivers or warehouse candidates by email. Each person completes consent and identity verification on their own device, which works for drivers who are not coming into a terminal to sign paperwork.

Batch invites cover peak intakes and the dashboard shows completion by terminal or location. See how IRC works, pricing for bulk rates, or the pre-employment screening guide for the wider process.

Frequently Asked Questions

Does a criminal record check show driving history?

No. Most driving offences are provincial matters and do not appear on a CPIC criminal record. A driving record comes from the provincial licensing authority as a separate abstract. IRC does not provide driver abstracts.

Is an IRC check the same as a Transportation Security Clearance?

No. Transportation Security Clearance for restricted areas at airports and marine facilities is administered by Transport Canada and involves its own application and checks. An IRC report does not substitute for it.

Can we screen owner-operators and subcontracted drivers?

Yes. Each driver receives their own invitation and gives their own consent, which keeps the consent record correct even though they are not your employee. This is one of the more common uses in trucking.

Which check do we use for couriers entering customer homes?

Operators usually choose the Enhanced CRC for residential delivery, because it includes pending charges and judicial orders alongside convictions. The standard CRC is more common for terminal and yard roles.
