Background Checks for Education Employers in Canada

Instant Record Check (IRC) delivers CPIC-sourced criminal record checks for school boards, colleges, universities and education technology employers. Canadian-owned, BBB accredited, no contracts. As in healthcare, the sector splits sharply between roles that need a police vulnerable sector check and roles that do not, and this page is explicit about which is which.

What Is Education Background Screening in Canada?

Anyone working with students under 18 in a position of trust falls in the vulnerable sector. That is teachers, educational assistants, coaches, bus drivers, camp staff and school volunteers, and those roles go through a police service rather than an online provider.

Post-secondary is different. Universities and colleges teach adults, so a great deal of campus employment sits outside the vulnerable sector entirely: faculty teaching adult learners, administration, admissions, facilities, campus IT, research administration and food services. Education technology companies, private training providers and corporate learning businesses are outside it as well.

What the Check Includes

IRC provides the name-based Criminal Record Check and the Enhanced Criminal Record Check. The Enhanced version adds pending charges, peace bonds, probation and judicial orders, and campus employers tend to want it for roles with facility access, residence responsibilities or financial authority.

Candidates verify identity with government-issued ID before the search runs, and results usually return within minutes. Because hiring in education is seasonal and arrives in waves, batch invites matter more here than in most sectors: a college filling sessional and support roles in August is processing dozens of candidates in the same week.

What IRC Does Not Cover

IRC does not provide Vulnerable Sector Checks. No online provider does. A VSC has to be run by a police service because it queries the pardoned sexual offence database, and where a name and date of birth match a flagged record it requires fingerprints to resolve.

For a school board, that covers most of what you hire: teachers, educational assistants, custodial staff working during school hours, bus drivers, coaches and classroom volunteers. School boards also commonly require an annual offence declaration between full checks, which is a board process rather than a product IRC sells.

IRC does not verify teaching certification, academic credentials or previous employment. Those are separate checks against the relevant college of teachers, the issuing institution and the former employer.

Who Uses IRC in Education

Canadian education employers screening roles outside the vulnerable sector. Typical cases:

  • Colleges and universities hiring administrative, admissions, registrar, finance and student-services staff who work with adult learners.
  • Campus facilities, grounds, security-adjacent and food service roles, including contractors who need building access.
  • Research administration and lab support roles handling grant funds, equipment or restricted data.
  • Education technology and online learning companies hiring engineers, content staff and support teams.
  • Private training providers, language schools and corporate learning businesses teaching adults.

Why Canadian-Owned and Operated Matters

Student and staff records are governed by provincial privacy legislation, and institutions are asked regularly where personal information is processed. IRC is Canadian-owned and operated and keeps screening data in Canada.

Pricing is per check with no contract, which suits a sector whose hiring is concentrated into a few weeks a year rather than spread evenly across it.

How IRC Works for Education Employers

Open a business account, invite candidates by email, and each candidate completes consent and identity verification directly. Institutions never handle applicant identity documents, which keeps the privacy footprint small.

Batch invites cover seasonal intakes, and the dashboard shows which candidates have completed and which have stalled. See how IRC works or review pre-employment screening before rolling it out.

Frequently Asked Questions

Do teachers need a vulnerable sector check?

Yes. Teaching involves a position of trust with students under 18, which places it in the vulnerable sector. Those checks are run by a police service and cannot be completed online. IRC cannot provide them.

Which education roles can IRC screen?

Roles without a position of trust over minors. In practice that is most post-secondary employment, including administration, facilities, IT, research support and faculty teaching adult learners, plus education technology and adult training companies.

Can IRC screen school volunteers?

Only volunteers who are not in the vulnerable sector, which is a small group in a K-12 setting. A volunteer supervising or assisting students needs a vulnerable sector check from a police service. Our comparison guide sets out the distinction.

How quickly can we screen a seasonal intake?

Most Enhanced CRCs return within minutes of the candidate giving consent, so the limiting factor is how fast candidates complete their side rather than processing time. Batch invites let you send an entire intake at once and track completion in one view.
