We facilitate the process of completing a criminal record check with the police in Canada. Our users are primarily located in Canada. Instant Record Check has partnered with police departments across Canada to provide our criminal record checks.
Our Collection Practices for Potential or Existing Users
We primarily collect User Personal Information from the following sources:
- The Canadian Police Information Center via local police detachments
- ID verification is performed through Instant Record Check by either Jumio Corp. or Transunion
- A public record search will search the internet, and public media that individual authors have made publicly available;
- Directly from Users in response to any dealings we have with the User including the Instant Record Check questionnaire; and
- Public records, federal, state and/or provincial government offices, public registries, and other sources permitted by law.
Accountability
Instant Record Check is committed to and responsible for complying to all applicable laws and regulations in Canada when collecting, using, disclosing, and retaining personal information. All employees are held accountable for the protection of any personal information under Instant Record Check’s control. Any third party partners that gain access to this information are under strict agreement to protect it and use it only for business purposes.
Scope and Purpose of Data Collected
In carrying out its business, Instant Record Check may collect, use, disclose, and retain personal information such as consumer identification information (including full legal name, birthdate, address, etc.), cookies, and consumer behaviour data. Consumer identification information is collected in order to conduct criminal record checks. This information is security provided to partner organizations during this process. Consumer behaviour data and cookies are only used to inform Instant Record Check’s marketing campaigns and will not be provided to outside partners. Individual’s visiting the Instant Record Check website are prompted with the option to opt out of the collection of cookies. Statistical data that cannot be attributed to an individual may be stored and used for business purposes.
Instant Record Check does not gather any personal information beyond what is necessary to provide its services. Instant Record Check does not use the information collected for any purpose other than what has been disclosed to its consumers. Any personal identification information collected is retained for as long as necessary to fulfill the purpose(s) for which it was collected and to comply with applicable laws which typically will not extend beyond 7 years. Consumer behaviour information will only be retained for business purposes and will only be retained for as long as necessary for fulfillment of those purposes. We ensure that our retention policies comply with the requirements of privacy laws and the applicable federal and provincial consumer reporting legislation.
If Instant Record Check was ever sold, or if we merged with another company, or transferred part or all of our shares or assets, we may disclose and/or transfer Personal Information to our successor or assignee who may collect, use and disclose the Personal Information for substantially the same purposes as described in this Privacy Policy;

Accuracy of Information
Any personal information collected by Instant Record Check is inputted by the User. Thus, the User is responsible for the accuracy of the information provided. Instant Record Check is responsible for and committed to maintaining this accuracy as the information is used, disclosed, and retained. Any information found to be inaccurate is promptly corrected by Instant Record Check.
Correcting Personal Information
At any time, a user may request to have any identified inaccuracies associated with their personal information corrected. A user may also ask us not to collect their personal information and to delete any information that was previously provided to us provided it is permitted by law.

Such requests must include photocopies (front and back) of two (2) pieces of government issued photo ID so that we may verify your identity.
Security
Instant Record Check is committed to the security of its customers’ and partners’ personal information. In order to ensure the protection of this information, all data is stored and maintained in Instant Record Check’s secure databases. All of Instant Record Check’s servers are located in Canada and all communication between servers is secured via SSL. Any hard drives on those servers are encrypted, and all backup drives are offsite and encrypted.
Instant Record Check maintains systems and protocols to safeguard information from unauthorized access, disclosure, use, copying or modification. These systems and protocols are routinely updated and upgraded to avoid new threats to the safety of information in its possession.
Cookies
The Instant Record Check Website makes use of “per-session” Cookies. Unlike “persistent” Cookies, which are stored on a user’s hard drive and can last indefinitely, per-session Cookies are stored only in a browser’s temporary memory and are deleted when the browser is shut down. When users visit our Website, our web server offers the user’s browser a per-session Cookie. As the Website is navigated, this Cookie is read back to our web server, allowing us to generate an anonymous “click trail” profile of the visit. IP addresses and server logs
